Location : Cambridge or Coventry (can be based out of either office) Some degree of flexible working which will include some working from home and presence in office as required, with prior agreement. The Role The purpose of the role is to provide an efficient, proactive and responsive administrative and organisational support to the Chief Executive OCR and Director of Regulation and the OCR SLT, helping to manage and prioritise activity and work effectively together. Supports and underpins the work of the Chief Executive OCR and Director of Regulation by allowing him/her to concentrate on running the organisation without having the concern of administration, i.e., diary management, meetings, papers, and logistics are all in place when required. You will be very much a valued member of the team. The role requires a flexible approach to the best way to support the Chief Executive and Director. What you will be doing Understand the business strategy and priorities to provide a full range of support to the Chief Executive OCR and Director of Regulation, exercising confidentiality, tact and diplomacy Proactively manage diary commitments, ensuring an effective balance between meetings and work time. Ensure papers for meetings are available in advance Prepare correspondence on behalf of the Chief Executive OCR and Director of Regulation, including the drafting of general replies. Use initiative to filter emails to prioritise and highlight urgent correspondence Initiate regular diary meetings to discuss upcoming engagements, invitations and other requests and ensure efficient proactive management of these activities Support the Chief Executive OCR and Director of Regulation work on projects involving extensive collaboration internally and externally Take the lead to initiate, chase up, escalate and ensure deadlines are met for all business activity Coordinate travel, accommodation and venue requirements in collaboration with others and ensure arrangements in place. Service board and other meeting groups, including the production of agendas, minutes and key papers. Take action notes at all meetings as directed by SLT Knowledge, Skills & Experience Skills The post requires a wide range of different skills: Good interpersonal, stakeholder and influencing skills are essential Excellent organisation and communication skills (written and verbal) Ability to multitask and prioritise effectively, exercise discretion when dealing with sensitive or confidential matters Bring compassion and assertiveness to situations as necessary Ability to react flexibly under pressure and to work to tight deadlines Advanced user of Microsoft Office packages Experience Demonstrable experience in an administration/executive assistant/PA role in a highly pressurised environment requiring tact, judgement and discretion in handling internal and external contacts. Extensive experience of effective diary management, researching and booking of travel Experience of dealing with highly confidential documents and information appropriately Qualifications As a minimum educated to A level or equivalent Professional relevant qualification desirable but not essential Behaviours 'Can do'- determined and resourceful in order to deliver the best results for the business within the agreed timescales and resources.
