Collingham Medical Centre
Practice Manager
Full-time - 40 hours per week
Reports to Partners
Collingham Medical Centre, High Street, Collingham, Newark, Notts, NG23 7LB

Permanent subject to satisfactory completion of training and probationary period.

Job Purpose
  • To be the management lead for the operational services and teams daily. With annual leave backfill and general support from the Executive Partner.
  • Working closely with the Partners, to support the Primary Health Care Team to deliver good quality health care to our patients and the efficient running of the practice.
  • To be the first line report for the full team – currently around 47 employees for both dispensing and practice teams.
  • To take responsibility for all activities relating to the data input, preparation and maintenance of practice salaries. To undertake staff training for reception and accounts data entry duties.
Dimensions (Management)
  • Manage the non-clinical team rotas and annual leave cover arrangements
  • Manage the clinical rotas and annual leave cover arrangements
  • Supervise, in partnership with the PALs, all administration services, secretariat and front of house teams’ staff. Coordinating and communicating changes in processes to the team.
  • Identify and support the performance of the non-clinical team, including annual appraisals.
  • Ensuring staff always adhere to policy and procedure.
  • Coordinate all staff absences, maintaining an effective absence register
  • Monitoring compliance with health and safety legislation, providing leadership and direction for staff
  • Manage compliance with regulatory bodies (CQC, GPhC, DDA & NHSE).
  • Co-ordinate building maintenance in conjunction with the Executive Partner and facility services.
  • Ensuring the clinical session structure is effective, meets the needs of the patients and clinicians have access to suitable rooms
  • Named key holder for the premises in relation to the intruder and fire alarms.
  • Strive to continually improve routines for the smooth running of the Medical Centre.
  • Manage, in liaison with the Executive Partner, all Health & safety aspects of the practice and premises, including responsibility for equipment testing logs, fire warden and accident book.
  • To periodically review the Business Continuity Plan and keep up to date.
  • Developing, implementing, and embedding an effective practice training programme for all staff (clinical and administrative) liaising with external agencies when necessary and maintaining a training record
  • Supervise the training of new employees and refreshing existing employees on Reception duties.
  • Managing and supporting the practice with the implementation of new services, as determined from time to time. Most recently, the COVID Vaccination campaign and ESDS.
Dimensions (Patients)
  • Attending the Patient Participation Group (PPG) and supporting their aims to be parallel with those of the Practice.
  • Effectively managing DNAs, referred repeat offenders to MDT where appropriate
  • Supporting patient queries, alongside the PALs team, and complaints
  • Identifying trends and devising solutions to reduce risk and repeated occurrences of significant events to improve processes and safety
Dimensions (Finance)
  • To understand the financial processes and work with the Executive Partner and Bookkeeper to ensure that the practice finances remain stable. Using QuickBooks ensures that rents, all service charges and invoices to all NHS organisations are raised.
  • An aware of the payroll, NHS Pension, Standard Life Occupational Pension Scheme and NEST processes which are sub-contracted to Fairway Pension & Payroll Specialists.
  • Support the financial balance of the practice to ensure that the income continues to come in (effective claims processes) and expenses are maintained.
Dimensions (Data)
  • Understand the data quality relating to the Quality & Outcomes Framework working with the clinical leads and Partners to help shape the skills required to meet these quality standards.
  • Produce data and audits for the local CQRS, CCG, Public Health, NHS England
  • Submissions of data claims to the NHS bodies to support the practice in its performance and financial management.
  • Supervise the recall processes, in conjunction with the Practice Administrator
  • Understand how the Research work and supporting the Medicine Management Facilitator (MMF) role in practice supports the action of alerts, MMF initiatives, prescribing incentives, and other initiatives
  • Supporting the overall practice clinical governance framework, submitting reports for OQF, enhanced services and other reporting requirements using CQRS / Open Exeter etc.
  • Support the management team in the compilation of practice reports
Dimensions (IT)
  • Understand the role of the Practice Administration IT lead and their support to the services
  • Co-ordinating the installation of hardware including PC’s, flat screens, laptops, all types of printers and scanners
  • Co-ordinating the installation of software on all PC’s and project lead for new software installations, i.e, INRStar N3, Flo, clinical equipment software,
  • Liaison with SystmOne and other computer maintenance companies Key Result Areas
  • Primary Contact for all team members
  • Act as the primary point of contact for NHS(E), CCG, community services, suppliers and other external stakeholders
  • Lead in the recruitment of staff
  • Support the Partners in the reviewing and updating of practice policies and procedures including change initiatives
  • Act as the building manager, dealing with defects, maintenance, and all other associated tasks in the Executive Partner absence
  • Manage asset registers
  • Act as the communication link between the management team and staff
  • Represent the practice locally as required
  • Maintain a working knowledge of CCG initiatives
